What we do with your data, whether you visit our website, send a request, apply for a job or are approached by us about a vacancy.

Who we are
talentix is a product of Talentix AI B.V., Hendrik Figeeweg 1-0013, 2031 BJ Haarlem, the Netherlands, registered with the Dutch Chamber of Commerce under number 97710849. In this statement we call that "we" or "talentix".
This statement covers two groups of people. Part 1 is for everyone who visits our website, sends us a request or applies for a job with us. Part 2 is for candidates we find and approach on behalf of an employer. The sections on cookies, your rights and contact apply to everyone.
When an organisation uses the talentix platform, we make separate arrangements with that organisation about the data it puts into the platform itself. That data is not covered by this statement.
Part 1: visitors, requests and applicants
For the data in this part, we are the controller within the meaning of the General Data Protection Regulation (GDPR).
What data we process
- Data you enter in a form, for example when you ask for contact, a demo or a plan: your name, work email, phone number, company, a link to your vacancy and your message.
- Your job application: your name, contact details, CV, LinkedIn profile and motivation.
- Data a customer shares about you through our referral form: your name, company and email address or phone number.
- The conversations and emails that follow after you have been in touch with us.
- Technical data about your visit, such as your IP address, browser and the pages you view. We receive this through our hosting and, if you consent, through analytics and advertising cookies.

How long we keep data
- Requests and contact details: for as long as we are in touch with you and up to two years after that, unless you become a customer. In that case the arrangements in the contract apply.
- Job applications: up to four weeks after the procedure ends. We always ask whether we may keep your application for twelve months for another vacancy. If you agree, we do.
- Data about your website visit: as long as stated in the cookie overview below.
- Data we are legally required to keep, such as invoices: seven years.
Part 2: candidates we approach
talentix helps employers find candidates for their vacancies. To do that, we look for people whose profile fits and approach them about a vacancy. If we approached you this way, this part explains what happens to your data.
Who is responsible
We approach candidates on behalf of employers that use talentix. The employer with the vacancy is the controller. We are the processor: we only use your data on the instructions of that employer and under the arrangements we have made with it. If you reply to a message or apply, the employer takes it from there.
For a few things we do for ourselves, such as the opt-out list, we are responsible ourselves.
What data is used
Your name, your contact details (work, and personal where that is allowed), your current and previous jobs and employers, education, skills and region. Also how you respond to our messages, your availability if you want to schedule a call, and a score showing how well your profile fits the vacancy. We do not process special categories of personal data, such as data about your health, religion or ethnic origin.
Where the data comes from
We use professional data that is publicly available, such as your professional profile online, and professional data sources.
What it is used for
- To decide whether your profile fits the employer's vacancy.
- To approach you about the vacancy on behalf of that employer.
- To pass your details to the employer if you say you would like to talk.
The employer does this based on its legitimate interest in finding people who fit a vacancy. That is why we only use the data needed to approach you about suitable work, and you can tell us at any time that you no longer want to be approached.
We do not use your data to train general AI models, unless the employer agrees to this in advance.
How we approach you
We always approach you on behalf of the employer with the vacancy, by email or through a professional network. The message states that it comes through talentix and links to this statement.
AI and human review
We use AI to compare profiles with what an employer is looking for. Under the GDPR this is profiling. The employer reviews the selection and decides who to talk to and who to hire. No decisions about you are based solely on automated processing.
Who receives your data
- The employer on whose behalf we approach you, with the data needed to present the vacancy, and more once you say you would like to talk.
- Service providers that help us with hosting, AI, sourcing and data enrichment, messaging and email, scheduling, monitoring and support. They only use your data for this engagement.
Your data is not sold.
How long your data is kept
For as long as the employer's engagement runs. After that, we delete or anonymise your data within 30 days, or return it to the employer. Copies in backups are gone within 90 days at the latest. If you have opted out, we keep your email address on an opt-out list, so you are not approached through talentix again.
No longer being approached, and your rights
You can always object to the use of your data. Reply to the message with "unsubscribe" or email hello@talentix.ai, and we will no longer approach you through talentix. For your other rights, such as access or erasure, contact the employer that approached you. If your request reaches us, we forward it to that employer.
Data outside the EEA
Our primary hosting is in the European Economic Area. Some of our service providers are based outside the European Economic Area. With them we make arrangements based on the standard contractual clauses of the European Commission, or we work with parties in a country the European Commission has found to offer an adequate level of protection.
Security
We take appropriate technical and organisational measures to protect your data against loss and unauthorised access, such as encrypted connections and access only for the people who need it. If you notice something that is not right, let us know at hello@talentix.ai.
Your rights

Send your request to hello@talentix.ai. We respond within one month. To prevent misuse, we may ask you to show that the data is yours.
If you disagree with how we handle your data, you can file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) at autoriteitpersoonsgegevens.nl.
Changes
We may update this statement, for example when our service or the law changes. The current version is always on this page, with the date of the last change at the top. If we make a major change, we will also say so clearly on the website.
